At D.C. Everest, our goal is to ensure all students attain the academic, career and life skills they need to face the challenges — and embrace the opportunities — of the 21st Century. Volunteer partnerships with family and community members, businesses and organizations play a critical role in helping us accomplish that goal — by helping us build ties between our schools, students, families, alumni and the community at large.
As a volunteer at D.C. Everest, you can make an impact on the lives of our students and enrich their educational experience. We hope your experience as a volunteer is equally rewarding and therefore, we do our best to help you find volunteer opportunities that suit your interests, talents and schedule.
To help volunteers find opportunities within our district, and to ensure we provide a safe and positive experience for students, we use Volunteer Tracker to manage our volunteer program and conduct volunteer screenings.
Please note, visitors (a person visiting school in support of a child’s/school’s activities such as picking the child up at school, family lunch days, family night, Donuts with Dad/Muffins with Mom, conferences, choir/band concerts, sporting events, academic special events, PTO events, etc.) do not need to register with Volunteer Tracker. If a visit takes place during instructional time, visitors simply sign in and sign out at the school’s front office on the day of their visit. Sign ins are not generally required for visits after the school day has ended.

Getting Started as a Volunteer
We have countless volunteer opportunities available across our district and encourage you to contact the school of your choice to determine what unique options are currently available at the school. Our Volunteer Tracker program also will provide you with numerous volunteer options to choose from.
- Visit Volunteer Tracker to complete an application.
- Review the DCE Volunteer Handbook and then go to “Volunteer Tracker Application”.
- Go to the green, “New to the App-Garden? Click Here to Register” link. Enter your email address, create a password and register. An activation email will be sent to your email address to validate your account.
- Once your application is finished, a background screening will be completed for Level 2 and Level 3 volunteer applicants. Level 2 and 3 volunteer positions are those in which the volunteer may have unsupervised contact with students.
- Applicants will receive an email once they are approved.
- Volunteer Tracker will send email reminders to volunteers in advance of their scheduled volunteer duties.
- Volunteers need only register with Volunteer Tracker one time during the school year and their application is applicable to all sites across the district self selected within the application.

Why is the district using Volunteer Tracker?
Volunteer Tracker allows us to manage our volunteer program across the district, track and recognize the volunteer contributions of community members, send reminders to our volunteers/staff, and conduct background screenings. The safety of our students and staff is our highest priority. Therefore, we conduct background checks for volunteers who routinely participate in an ongoing activity with a classroom, small group or individual students either with or without teacher supervision and who may have periodic unsupervised movement in a building or serve as a chaperone.

How are background checks run?
When a volunteer applies for a Level 2 or higher volunteer activity, they are authorizing the district to conduct the background check. Criminal background checks will be conducted under the direction of the District’s Human Resources Department and the District Volunteer Coordinator prior to the first time a volunteer works with students. It is recommended that you apply a minimum of 2 weeks before the start date of the volunteer role to allow for ample time to process your application and background check. A credit check is not part of the volunteer background screening.
A background check is good for two years from the date of processing. The district reserves the right to conduct additional checks prior to the two-year expiration. All background check information provided stays confidential within District Human Resources/Administration.

Do I have to complete a volunteer application for each school my student(s) attend or each volunteer opportunity?
No, volunteers only need to register once for the Volunteer Tracker system. All volunteer opportunities across the district will be made available in Volunteer Tracker. Volunteers will receive an email reminder when their background screening must be updated.

Will I be notified when my application and background check are cleared?
Yes, you will receive an email when your application is received and another when your background check has cleared, and your profile is activated in Volunteer Tracker. The “welcome” email with provide you with next steps.

I've made a mistake in the past. Will that exclude me from volunteering at my child's school?
If you fail to clear the background check, you will not be able to volunteer for the district in a Level 2 or Level 3 role. It may be the case that you could be permitted to apply to volunteer at a later date. The district will initiate adverse action notification steps should you fail to clear the background check.
It is important to know that should you be deemed disqualified/ineligible to volunteer, you will not be prevented from participating in your own child(ren)’s education. We encourage you to participate in activities as a guest at schools, such as concerts, sporting events, history day, etc.

Can DCE volunteers be under the age of 18?
Yes, persons under the age of 18 may volunteer with the district. Minors are not subject to a background check. We encourage our DCE high school students to complete a volunteer tracker application and volunteer within the district.

What is the difference between being an involved parent/guardian versus an official volunteer?
Involved parents/guardians take part in one-time events or assist with day-to-day activities on an as-needed basis. Examples include participating in a school family event, attending concerts/sporting events/academic competitions, or enjoying a special event such as Donuts with Dad or Muffins with Mom. Involved parents/guardians do not need to register with Volunteer Tracker nor have a background check completed. When a parent/guardian visits the school during the school day, they are required to sign in and out at the front office. Visits that take place after the school day has ended do not typically require a sign in.
Official volunteers are unpaid persons authorized by the district to perform agreed upon volunteer services for the district during the school day or during extended-day, school/student-related programs, including volunteer chaperones on student field trips or other travel trips, volunteer athletic coaches, community partners, and temporary student teachers or observers. All DCE volunteers must register with Volunteer Tracker. Level 1 volunteers do not require a background check whereas Level 2 and 3 volunteers do require a background check.

What is the difference between a Level 1, 2 and 3 volunteer?
All DCE volunteers must register with Volunteer Tracker. Level 1 volunteers do not require a background check whereas Level 2 and 3 volunteers do require a background check. A Level 1 volunteer typically participates in a one-time event that does not have ongoing/independent one-on-one contact with a student. A Level 2 volunteer is typically involved with on-going activities with or without teacher supervision. A Level 3 volunteer assists with an ongoing activity with a classroom, small group of students, or one-on-one with a student, and they may periodically move through the building unsupervised.
